1. Operator and independence
CoOptimal Gaming (COG) operates independent Australian community game-server and membership services. Wardogs and related game names, marks and game content belong to their respective owners. COG is not the developer or publisher of Wardogs and is not affiliated with or endorsed by them unless COG expressly states otherwise.
2. Acceptance of these Terms
By creating or using a COG member account, using COG-operated servers or queues, linking a third-party account, purchasing or using a membership where available, or submitting support requests, you agree to these Terms and the current Privacy Policy.
If you do not agree, do not use the COG services. You must also comply with the applicable terms and account requirements of Steam, Discord, the relevant game and any payment provider you choose to use.
3. Member identity and accounts
- Steam is the primary COG identity. COG uses the SteamID64 verified through Steam OpenID to identify a member account.
- You must only authenticate with or link accounts that you are authorised to control. Impersonation, deliberate account-linking abuse and attempts to bypass a suspension or ban are prohibited.
- Discord linking is optional unless a particular community feature is expressly stated to require it. Linking Discord does not make Discord the primary COG login.
- You are responsible for protecting access to your Steam, Discord and payment-provider accounts. COG cannot reset those third-party credentials.
4. Community and server conduct
You must use COG services lawfully and in a way that does not interfere with other members, COG systems, game servers or third-party services. Prohibited conduct includes cheating, exploiting known vulnerabilities, deliberately disrupting servers or queues, attempting to obtain unauthorised admin access, tampering with entitlement or queue requests, abusive or fraudulent account behaviour, malicious automation, and attempts to evade enforcement action.
COG may investigate suspected misuse and may warn, restrict, suspend or ban an account where reasonably necessary to protect members, servers, security or community operations. Serious security or unlawful conduct may be referred to an appropriate service provider or authority.
5. Membership plans, entitlements and grandfathering
The membership plans currently offered by COG are the active plans displayed by the COG backend at the time you view or purchase them. Plan names, prices, billing intervals, benefits, designated-server whitelist allowances and Discord-role mappings are configuration-controlled and may change prospectively.
Grandfathered plans. COG may retire a plan from new sale while allowing an existing member with a continuous paid subscription to remain on that legacy plan and its existing provider billing arrangement. Where COG marks a subscription as grandfathered, that protection applies only while the relevant subscription remains continuous. COG does not set an automatic expiry date for that protection merely because the plan has been retired from new sale. A grandfathered plan is not transferable to another account and, after the protected subscription is cancelled, expires, is replaced by another plan or otherwise ends, the retired plan may no longer be available to rejoin.
COG will not silently move a grandfathered member onto a more expensive replacement plan. If a retired plan is replaced by a materially more expensive plan or materially different billing arrangement, COG will require the member to choose or approve the replacement before the higher recurring charge is established. Where a replacement is equal or cheaper and does not materially disadvantage the member, COG may offer or apply an entitlement transition, but provider billing state remains subject to confirmation by the applicable payment provider.
Designated-server whitelist access is an access entitlement, not a guaranteed player slot. Where a membership includes one or more whitelist server selections, the member may designate eligible COG servers up to the allowance shown for that plan. Individual servers may have whitelist capability disabled or may have a finite member-allocation limit. A designation permits COG to treat the linked Steam identity as eligible for that server’s member whitelist, but outages, maintenance, game restrictions, full concurrent player capacity or third-party integration failures can still prevent or delay entry.
To prevent rapid server hopping, COG may apply a short change-lock period to a newly selected whitelist server. The current lock period and any change-available date are shown in the portal. COG-side server removal, whitelist disablement, membership downgrade reconciliation or an authorised administrative correction may release a designation without waiting for that member change lock.
Queueing, where offered, is a separate operational service. Membership tier does not provide a higher queue position; active queue entries are ordered on a first-in, first-out basis unless COG displays a different non-membership operational rule.
Temporary complimentary/staff/promotional entitlements may be granted separately from a paid subscription. An entitlement override does not alter the underlying payment-provider subscription unless COG expressly confirms that it has done so.
6. Paid memberships and recurring billing
Where COG enables paid memberships, the price, currency, billing interval and material benefits shown before purchase form part of the offer. Payment is processed by a supported third-party provider such as Stripe or PayPal. COG does not require you to provide payment-card credentials directly to the COG member database.
If a membership is described at checkout as recurring, it will continue according to the disclosed billing interval until cancelled, ended by the provider, or otherwise terminated in accordance with the displayed billing controls and applicable law. Before starting a paid subscription, the checkout flow should identify the selected plan, recurring amount, currency and billing interval.
Provider confirmation and entitlement
COG uses verified payment-provider events and provider API state to reconcile paid subscription status. Completion of Stripe Embedded Checkout, returning to COG after payment authentication, closing a checkout interface, or a browser-side message does not by itself prove that payment or a subscription has completed. COG may therefore show a subscription as pending while provider confirmation is still being processed.
COG records provider references and subscription state so that it can reconcile renewals, cancellations, failed payments, plan changes, refunds and other billing events. If a provider event is delayed or arrives out of order, COG may retain the existing entitlement temporarily while the billing state is reconciled. COG will not intentionally use an older provider event to overwrite a newer confirmed plan transition.
Changing, cancelling and ending subscriptions
Plan changes may be completed through COG and the selected payment provider where the provider supports the requested change. A requested change is not treated as completed until the relevant provider state has been confirmed. If the requested replacement cannot be applied automatically, COG may instead stop future renewal and ask the member to choose a new plan.
Cancellation is only complete when the COG/payment-provider interface confirms it. Unless the applicable checkout, provider terms or law state otherwise, cancelling future renewal normally leaves the paid entitlement active until the end of the already-paid billing period. Suspending a COG account for conduct or security reasons does not by itself prove that a separate third-party recurring payment has been cancelled.
Administrative billing safety. The COG Admin portal does not provide a general-purpose control for an administrator to arbitrarily cancel or refund another member's paid subscription. Ordinary member cancellation is authenticated to the member whose subscription is being changed, while administrative billing tools are intended to reconcile COG records with the payment provider. Account bans are a separate enforcement process described in section 12 and may stop future renewal without creating an automatic refund.
If a recurring payment fails, is reversed or is disputed, COG may place the billing record into a pending, past-due, suspended or cancelled state as appropriate and may restrict paid entitlements when the paid-through period or any applicable provider recovery period ends. COG may reconcile an account manually where provider and COG records disagree.
7. Server availability and changes
COG may start, stop, relocate, reconfigure, update or retire servers and may place servers into maintenance where reasonably required. Population, ping, map, server status and queue information are operational data and may sometimes be delayed or unavailable.
COG does not guarantee uninterrupted availability, a particular server population, permanent compatibility with a game update, or that a third-party game/publisher will continue to permit the same server functionality. Planned or unplanned outages may occur.
8. Discord role synchronisation
If you link Discord and COG's Discord bot is configured, COG may add or remove the Discord role IDs mapped to COG membership plans so that your Discord role reflects your effective COG entitlement. COG is designed to manage only roles configured as COG membership roles, not unrelated Discord roles.
Role synchronisation depends on the Discord account being linked to your COG account, the bot being present in the configured Discord server, Discord permissions/role hierarchy being valid, and the relevant membership plan having a role ID configured. Discord outages or permission changes can delay or prevent synchronisation.
9. Third-party services
Steam, Discord, payment providers and the game itself are independent third-party services with their own terms, privacy practices and availability. COG is not responsible for third-party account suspensions, outages, policy changes or data controlled exclusively by those services. Where a third-party outage prevents a COG integration from working, COG will take reasonable operational steps but cannot guarantee the third party's service.
10. Intellectual property
COG branding, portal design, original site text, original graphics and COG-created software are owned by or licensed to COG as applicable. Third-party trademarks, game artwork, service marks and platform branding remain the property of their respective owners. You must not represent yourself as COG staff or imply endorsement or affiliation that does not exist.
Steam and the Steam logo are trademarks and/or registered trademarks of Valve Corporation. Discord and the Discord logo are trademarks of Discord Inc. Their use in the COG Portal identifies the external account services only and does not imply sponsorship or endorsement.
11. Security and prohibited access
You must not attempt to bypass authentication, CSRF controls, admin permissions, server-side entitlement checks, rate limits, queue rules or other technical controls. Discovering a potential vulnerability does not authorise exploitation, access to other members' information or service disruption. Security concerns should be reported through COG Support with enough detail to investigate safely.
12. Suspension, bans, termination and account access
You may stop using COG services at any time. COG may warn, restrict, suspend, ban or terminate access where reasonably necessary and proportionate for serious or repeated rule violations, fraud, security threats, unlawful conduct, attempts to evade enforcement, third-party platform restrictions that make service impossible, or other material breaches of these Terms.
Suspension. A temporary suspension denies COG access for its duration but does not automatically change a third-party recurring subscription. Where a suspension is prolonged or billing should change, COG may review the subscription separately and will not intentionally continue charging for a period where COG is required by law to stop doing so.
Ban or termination for member breach. When COG bans an account for a serious or material breach, COG access may end immediately. COG may clear active queue entries and remove COG-managed Discord membership roles. If a recurring paid subscription is active, COG will also attempt to stop future renewal so that a banned account is not intentionally charged for a new billing period after enforcement.
A ban is not automatically treated as a refund request. Where access is terminated because of the member's serious or material breach, the unused part of an already-paid period may be forfeited and COG does not automatically issue a pro-rata refund merely because enforcement occurred. This applies only to the extent reasonably necessary and permitted by law. It does not exclude any refund, compensation, consumer guarantee or other remedy that cannot lawfully be excluded, and COG may restore access or provide an appropriate remedy where an enforcement decision is reversed or found to have been made in error.
A member who believes an enforcement action is incorrect may use COG Support to request review where account access to Support remains available. Enforcement, review and any related billing action may be recorded in COG's audit systems.
13. Liability and statutory rights
To the extent permitted by law, COG is not liable for losses caused solely by third-party platform outages, game/publisher changes, member misconduct, unauthorised use of a member's third-party account, or circumstances outside COG's reasonable control. This clause does not exclude liability or remedies that cannot lawfully be excluded.
Nothing in these Terms limits rights you may have under the Competition and Consumer Act 2010 (Cth), including the Australian Consumer Law, or other applicable consumer-protection legislation.
14. Changes to these Terms
COG may update these Terms to reflect changes to the service, memberships, integrations or law. The effective date will be shown at the top of this page. Changes apply prospectively. Where a change materially affects an existing paid service, COG should provide reasonable notice where practical and will not use a change to remove rights that cannot lawfully be removed.
COG may deliver account, membership, billing, support, security, operational and administrative notices through the authenticated member portal. Members are responsible for reviewing important persistent notices made available to their account. A portal notification is not used to waive any notice method or period that applicable law specifically requires COG to provide in another way.
15. Applicable law and support
These Terms are intended to operate under applicable Australian law. Mandatory consumer, privacy and other statutory protections continue to apply according to their own rules.
Questions about your account, membership, billing or these Terms can be submitted through Member Portal → Support. At present, no separate unauthenticated legal email, phone number or postal address has been supplied in the portal configuration. The configured account-support path is the authenticated Support function. These Terms deliberately do not invent business contact details that have not been supplied.
